Beyond 3-way, 5-way, 6-way: a 24-point gold-plated checklist.

The matching arms race has become the category's scoreboard. 3-way became 5-way became 6-way, as if the count of documents compared decides whether an invoice should be paid.

Four families of rules. Matching rules, statutory rules, business rules, exception-routing rules. All 24, on every invoice.

Six-way matching checks documents against each other. The 24-point checklist checks the invoice against everything that matters.

  • If buyer and seller GSTINs share a state code, the tax must split as CGST and SGST, never IGST.
  • The GSTIN on the invoice must match the vendor master and the PO.
  • A proforma invoice must never process as an invoice.
  • Duplicates get caught even when the invoice number changes but the substance does not.

Documents agreeing with each other is necessary. It is not sufficient, and that is why automation and compliance are the same motion here, not a trade-off.

Before the invoice

Three-way matching per line against PO and goods receipt, with the 24-point checklist as the gate. The India statutory checklist runs itself: GSTIN to the check digit, the tax split to the paise, IRN and signed QR, the MSMED 45-day clock, and a 90-day window that flags duplicates from the same supplier even when the invoice number changes but the substance does not.

Approved invoices group into planned payment runs, and advances settle before money moves. APX posts ready-to-pay invoices; your ERP executes the payment; the bank confirms; the UTR is recorded back. APX never moves the money itself.
